Written Guide

Overview

This feature will integrate and synchronise data from the Royal Mail Click & Drop Desktop courier service and your admin.

You will need to ensure that you have set up the relevant Royal Mail Click & Drop Desktop account within Royal Mail before you can begin to use the feature. You can find help on how to do this here

This feature will export the Sevice Type/Class, the service, the package size, the weight and where applicable the Service Enhancement and Signed For to Royal Mail and allow a file to be sent back to the admin. This file will populate orders with Tracking Details and change the order status to Dispatched triggering the relevant automated email to your customers.

What's been added to your admin? 

You can manage your orders either in bulk or individually. First, you will need to go to the Orders menu in your admin followed by View Orders.

 Managing Orders Individually

Select the order that you want to individually manage and scroll to the Royal Mail Click and Drop section at the bottom of the page

 

Service Type: Choose the service type you want to send this order from the drop-down. Services that show in this dropdown will only apply to the services you use in Click & Drop. If you need to add more services at any time, let us know. The service that you choose from this drop-down will determine the content you can select for other drop-downs as you move along the menu

Service: Select the service for this order

Package Size: Select the page size for this order from the drop-down

Enhancement: Select the enhancement for the service you have selected here

Notification: Some services offer how your customer can be kept up to date with the tracking of their order by SMS, Email or SMS & Email. If this is available on the service type you have previously selected, you will be able to assign this from this drop-down

Weight (KG): If you have weights against your products in your product data, this area will populate for you

Print Now: Select Print Now to download your exported order immediately. If this is left unselected, your order will move to the Shipping Batches menu in your admin

Add to Export: Click this button to export the order. This will go into Orders > Shipping Batches 

 

Managing Orders in Bulk

Go to the View Orders screen. At the bottom of this screen, you will see the Royal Mail Click & Drop section.

You will need to select orders that will be going on the same service when managing in bulk

Then should use the drop-downs in the same way as detailed above, but when managing orders in bulk you can select the Auto-Weight checkbox so that weights for products are included in the export

 

Downloading the File to Send to Click & Drop

You will need to first go to Orders on the left-hand side, followed by Shipping Batches

You will then be brought to the following screen

Click the red Print Batch to download the file

Save this file into your Click & Drop Desktop App's "Watch" folder. This is on your local machine and is where the Click & Drop Desktop App will import your orders

Once a batch of orders has been processed you will receive a "results" file. This CSV file contains the orders and their tracking numbers which you will need to manually upload into the admin via Orders > Import Consignment.

Select Royal Mail Click & Drop from the service provider list. Then upload the "results" file and select Import File.

The file will be immediately processed and update the orders. This update will apply tracking numbers and change orders to a status of Dispatched meaning that the relevant automated email will be sent to your customers to update and advise them.

Successful orders will be displayed on the orders page of Click & Drop. From here you can print the labels required for your orders.
